GENERAL FUNCTION
To provide confidential secretarial support to the Corporation Counsel and provide direction to social workers on legal procedures.
RESPONSIBILITIES
A. ESSENTIAL FUNCTIONS
1. Prepare legal documents for mental, guardianship, and small claims hearings, prepare cases for hearing, and other court proceedings, schedule court time, coordinate calendars, arrange doctor evaluations, arrange doctor/witnesses, track time limits for scheduling hearings.
2. Type various documents, i.e., County Board resolutions, letters, litigation documents, processes monthly reports. Type, prepare, and file briefs based upon state statute guidelines.
3. Responsible for verifying accuracy of subject’s identity for entering individual into Tax Refund Intercept Program (TRIP). Collect funds through TRIP on debts owed to Wood County and appropriately credit those funds to the corresponding cases and department.
4. Answer, screen, and refer incoming calls and visitors. Open, review and process incoming mail independently prepare replies to correspondence and drafts of pleadings in accordance with established procedures.
5. Process Child Support paperwork, calendar court dates; compile files and documents for court.
6. Assist in the preparation of department’s budget and monthly vouchers; run monthly reports; oversee the department’s budget.
7. Responsible to know and practice the Safety policies of the County. Perform all job tasks in a safe and prescribed manner.
8. Must be familiar with and exemplify the Wood County Core Values and serve with courtesy and respect in accordance with the Wood County Code of Conduct.
B. OTHER JOB DUTIES
1. Prepare County Board/Committee documents, schedule committee meetings; prepare meeting agendas, take and prepare meeting minutes, assemble information for County Board monthly packet.
2. Provide assistance to Social Workers on interpreting the laws, the necessary procedures, and documents to be used to accomplish their goal.
3. Maintain database of office files and process files for destruction when file is expired and maintain database of legal opinions/reports. Develop new databases and communication processes.
4. Draft Small Claims complaints. Follow up and prepare legal documents for collection of judgments.
5. Advise general public on legal procedures or refer to appropriate person or agency.
6. Any other duties as may be assigned.
Job Qualifications:
EXPERIENCE, TRAINING, QUALIFICATIONS
High school graduate or HSED (High School Equivalency Diploma). Associate Degree in Administrative Assistant with two (2) years of experience as a Legal Secretary, as well as accounting/bookkeeping, reading/understanding state statutes, and understanding legal procedures/time frames. Knowledge of the court system and agencies/procedures associated with the courts. Typing skills of 45 wpm required. Ability to operate a personal computer and software (Word, Excel and Access) and experience in data entry is required, as well as the ability to learn any upgrades and changes that may occur. Must meet standards to access TIME system. Basic, everyday living skills are needed, as is the ability to understand and follow oral and written directions. Reading, writing, adding, and subtracting are needed for correspondence, understanding State Statutes, data entry. Demonstrated ability to work independently, work under pressure to meet frequent deadlines, maintain attention to detail and accuracy, and maintain confidentiality is critical. Demonstrated ability to work effectively with co-workers and general public.
Basic office equipment used – calculator, copy machine, computer and printer, FAX machine, telephone, and imaging equipment.
