CURRENT OPPORTUNITY TO JOIN OUR TEAM:
The Wood County Sheriff's Department has an opening for a full-time (.97 FTE) Administrative Assistant II position. Responsible to perform general clerical duties for the Sheriff’s Department, working from established procedures and instructions.
RESPONSIBILITIES
A.
ESSENTIAL FUNCTIONS:
1.
Prepare correspondence, forms, reports and supporting data in accordance with departmental procedure.
2.
Attend, record and type minutes from meetings as assigned.
3.
Answer the telephone and respond to walk-ins in a pleasant and professional manner. Answer questions and/or direct calls or individuals to the appropriate personnel.
4.
Transcribe reports and correspondence recorded in dictation system.
5.
Open, log and distribute department and Jail mail.
6.
Assist with oversight of inmate cash management system (CACTUS) and canteen program.
7.
Maintain departmental records per established procedure:
a.
Enter citations, warnings and reports in computer program. Prepare citations for court.
b.
Evaluate and transfer from Computer Aided Dispatch (CAD) to records format on a daily basis.
8.
Prepare civil process affidavits, bills and deposits per established procedure.
9.
Responsible to know and practice the Safety policies of the County. Perform all job tasks in a safe and prescribed manner.
B.
OTHER JOB DUTIES:
1.
Review and correctly respond to requests for information per established procedure.
2.
Maintain filing system.
3.
Maintain crime statistics.
4. Any other duties as may be assigned.
Job Qualifications:
EXPERIENCE, TRAINING, QUALIFICATIONS
High school diploma, preferably supplemented by completion of secretarial or administrative assistant coursework, or verifiable work in a related field of at least three years. Typing skills of at least 45 wpm, strongly preferred. Ability to operate a personal computer and appropriate software (Word). Perform data entry. A basic understanding of law enforcement and/or legal terminology desirable. Ability to maintain confidentiality is essential. Ability to work with limited supervision. Ability to successfully pass a background investigation. Basic, everyday living skills are needed, as is the ability to understand and follow oral and written directions. Reading, writing, accurate spelling, adding, and subtracting is needed to read correspondence, compile reports, general bookkeeping.
Basic office equipment used –calculator, copy machine, computer terminal and printing equipment, dictation equipment, FAX machine, and telephone.
